Closing a show and updating your tour

Deal done. Here's how to lock the show in so everything downstream flows correctly.

When you'd use this

You and the venue agreed terms in the inquiry thread and it's time to mark the show confirmed.

Confirm the show

Option 1 — from the inquiry thread:

  1. Open the inquiry.
  2. Deal terms are populated in the header (either auto-parsed from conversation, or you entered them during counter-offer).
  3. Click Confirm show.

Option 2 — from the tour detail:

  1. Tour → Stops tab → the specific stop.
  2. Click Mark confirmed.
  3. Review deal terms, edit if needed, save.

What happens on confirm

Mintoor automatically:

  • Updates stop status from Pending → Confirmed
  • Populates the settlement record with deal terms
  • Unlocks the day-sheet surface for that stop (advance info, call times, etc.)
  • Surfaces the show in your Mintoor calendar
  • Notifies anyone on your tour team who has edit access
  • Emails a confirmation summary to both you and the venue booker

Contract / written confirmation

By default, the email confirmation summary serves as the written record. Many bookers consider this sufficient. For formal contracts:

  • Touring tier and above: Mintoor can generate a venue contract PDF from the deal terms. Tour detail → stop → Generate contract.
  • Crew tier: white-label contracts with your brand. See White-label advance docs for setup.

If the venue has their own contract template, they'll send it — review carefully, then sign via whatever method they use (DocuSign, HelloSign, email + signature image).

Calendar export

  • Mintoor calendar: confirmed shows appear on your in-app calendar immediately.
  • Public tour page: show date appears on /tour/your-slug if you've set the tour to public visibility.
  • Google / Apple Calendar sync: coming soon. For now, export your tour as ICS or share the public tour link with bandmates.

Day-sheet unlocked

Once confirmed, Mintoor generates a starting day-sheet for that stop:

  • Venue contact info
  • Load-in, soundcheck, doors, set times (from the deal)
  • Parking info (from venue record)
  • Lodging plan (if set)
  • Hospitality details (from deal terms)

You fill in remaining details as they firm up (typically 1–2 weeks before the show).

Changing a confirmed show

Things change. A venue moves your load-in. Your routing shifts. To amend:

  • Stop → Edit → change the field → save.
  • Mintoor auto-notifies venue + your team of the change.
  • Major changes (date, deal terms) require venue re-acknowledgement before they take effect.

Minor changes (load-in time, hospitality) just update and notify.

Cancelling a confirmed show

Rare but happens. To cancel:

  • Stop → Cancel show.
  • Enter reason (routing conflict, health, venue cancellation, etc.).
  • Mintoor auto-emails venue + team with the cancel notice.
  • Tour P&L auto-updates to remove the stop.

Cancellation flag stays on the venue record so future tours know you've had history there.

Still stuck?

  • Venue wants paper contract mailed. Rare but happens. Generate the PDF, print, sign, mail. Log the tracking in a note.
  • Deal terms feel wrong after confirmation. Amend via Stop → Edit. If the venue disputes, re-open the inquiry thread and discuss.
