How Mintoor sends booking inquiries

Mintoor's outbound inquiry engine — structured emails that venues respect, with tracking and reply-handling built in.

When you'd use this

You just locked a tour and need to fire inquiries. Or you want to understand what venues actually receive when Mintoor sends on your behalf.

The mechanics

  1. Template + variables. Mintoor has a base template you customize once. Per-inquiry, it fills variables like {artist_name}, {venue_name}, {proposed_date}, {past_nearby_shows}.
  2. Send from Mintoor's domain. The email goes out from [your-slug]@outreach.mintoor.com. Looks like legit booking email.
  3. Reply-to routed back. When the venue hits reply, their response lands in your Mintoor Inquiries inbox.
  4. Tracking. We watch for: delivery, open, reply, bounce.

The template anatomy

A standard inquiry has:

  • Subject line — "[Artist Name] — touring [region], [month]"
  • Greeting — "Hi [booker first name]" if we know it, else "Hi there"
  • Intro paragraph — who you are, where you're from, what you sound like
  • Pitch paragraph — why you're reaching out now, the proposed date, your draw estimate
  • Credibility — past shows in the region, streaming links
  • Ask — are you booking this date? What's your typical deal structure?
  • Sign-off — your name, reply-to email

You customize once via Profile → Outreach → Template. Each variable is swappable.

Personalization

Per-inquiry tweaks:

  • Adjust the proposed date
  • Add a custom note ("saw you booked [band X] last month, we're in the same orbit")
  • Attach EPK, specific promo image, or link to tour announcement

Auto-personalization Mintoor does for you:

  • Pull recent shows from your past tours in the same region
  • Include 2–3 "venues you've played nearby" as social proof
  • Match tone to the venue tier (more formal for theaters, more casual for dive bars)

Send cadence

  • Immediate batch send (default for locked tours) — all inquiries go out within 1–2 minutes of Lock.
  • Staggered send — spreads inquiries over a few hours to reduce "just blasted 40 venues" look.
  • Manual per-venue — hold all, release individually when you're ready.

Rate limits apply: ~30 inquiries per day per artist account, to protect your sender reputation. If you need to send more, contact us — we can raise the cap for bona-fide tour launches.

Draft mode

If you want to review each pitch before it sends:

  • Profile → Outreach → Enable Draft mode.
  • On tour lock, inquiries go into Draft status. Review each, edit if needed, click Send.
  • Slower but safer. Recommended for your first tour on Mintoor.

What venues see

The venue receives a clean, professional email that looks like it came from a booking agent or artist directly. No "Sent via Mintoor" badge. We're invisible on purpose — your brand, not ours.

Inside the email is a small reply-to link that routes replies back into our system. Bookers replying via their normal email client doesn't know or care.

  • Template looks weird to me. Preview it before locking a tour: Profile → Outreach → Template → Preview. Shows what a rendered inquiry would look like with your current settings.
