Multi-vehicle and crew-size considerations

How your tour scales (or doesn't) with crew size and multiple vehicles.

When you'd use this

You started Mintoor as a solo act and you're now touring with a band + front-of-house engineer. Or you're adding a second vehicle for gear and merch. Costs and logistics change.

Setting your crew

Profile → Settings → Tour defaults → Crew size.

Default counts:

  • Solo: 1
  • Duo: 2
  • Trio + backline: 3–4
  • Full band with crew: 5–7
  • Full band with FOH + tour manager: 6–8

Override per-tour if a specific tour has different staffing.

How crew size scales P&L

Rooms (lodging): crew / 2, rounded up. 5 people = 3 rooms. 8 = 4 rooms.

Per diem: crew × days × rate. 5 people × 10 days × $40 = $2,000 on per diem alone.

Revenue doesn't scale with crew. You might charge slightly more guarantee for a fuller band, but not 5x.

Net per person: the metric that matters. $4,200 net on a 5-person tour = $840/person. Compared to solo's $2,500 net = $2,500/person. Crew scale reduces take-home-per-person.

Multi-vehicle setups

Two common reasons to add a vehicle:

  1. Gear / merch truck — you can't fit everyone + gear in the band van.
  2. Flex vehicles — one vehicle goes ahead for press or advance, another follows with gear.

Mintoor supports up to 3 vehicles per tour:

Profile → Tour defaults → Vehicles → Add vehicle.

Per vehicle:

  • MPG
  • Driver (assigned crew member)
  • Assigned people (who rides in which vehicle)
  • Fuel type

Router calculates fuel costs per vehicle based on assignments. Vehicles can split routes (one goes direct, one makes a merch pickup detour).

Crew permission levels

If crew members have Mintoor accounts (via Touring or Crew tier with team seats), assign them roles:

  • Owner — you, sees everything
  • Tour Manager — full edit on tour, sees financials
  • Crew — day-sheet view only, no financials
  • Guest — specific stops only, no financial details, time-limited access

Budget visibility

Per tour, set who sees the P&L:

  • Everyone on crew — transparent approach, useful for profit-sharing bands.
  • Owner + Tour Manager only — standard model for hired crew.
  • Owner only — solo acts; nobody else gets financials even when you add day-sheet viewers.

Toggle via tour detail → Team tab → Budget visibility.

Still stuck?

  • Crew size changed mid-tour. Add a new tour "revised" version or just update projections going forward. Previous stops' settlements don't retroactively change.
  • Vehicle broke down and I rented. Add a one-off expense via the budget tab. Doesn't affect vehicle-level routing math for completed legs.
